At Shipmate, we’ve always taken data privacy seriously. From day one, our platform has been designed to securely store and handle personal data associated with every shipment. But as data-protection standards continue to evolve, and as our customers’ expectations mature, we’re committed to evolving right alongside them.

That’s why we’re excited to introduce our enhanced Data Redaction and Retention controls, a major upgrade to the foundational data handling safeguards that have been part of Shipmate since day one.

These new features give your business finer control over how long shipment data is stored, when it’s anonymised, and how it can be safely deleted, all while maintaining operational integrity and compliance readiness.

A Complete Data-Retention Toolkit

Automated Shipment Redaction

You can now choose exactly when shipment data should be anonymised, and which fields should be redacted.

Administrators can configure Shipmate to automatically redact selected personal data after a defined timeframe (ranging from 30 days up to 7 years, or never). This allows you to:

• Remove customer-identifying details

• Retain non-sensitive data such as shipment info, service levels or parcel contents (if desired)

• Continue benefitting from reporting and analytics without storing unnecessary personal information

This level of control supports compliance while preserving operational insight.

Fine-Grained Redaction Options

Not all businesses have the same privacy needs, so Shipmate now lets you select exactly which pieces of personal data to overwrite.

Redaction can be applied to:

• Recipient names & contact details

• Full or partial address information

• VAT, EORI and UKIMS numbers

• Delivery instructions

• Carrier-specific data mappings

• Parcel-level item descriptions

• Custom fields at both shipment & parcel levels

By default, the most common personal data fields are pre-selected, but you’re free to customise the configuration to suit your own compliance requirements.

Automatic Deletion of Shipments

If your policies require data to be removed entirely, Shipmate now supports time-based automatic deletion.

As with redaction, you can choose a timeframe anywhere from 30 days to 7 years. Redaction and deletion settings work together intelligently, ensuring shipments aren’t scheduled to be redacted after they’re due to be deleted.

Manual Deletion for Eligible Shipments

In addition to the automatic process, eligible shipments (e.g., delivered, cancelled, or inactive for 30+ days) can be manually deleted.

Clear Visual Indicators for Redacted Data

To prevent confusion, the Shipmate UI now displays redacted fields using clear, obvious visual markers. This ensures operational clarity while safeguarding sensitive information.

Additionally, redacted Shipments will not allow users to print or download labels or any carrier documentation, preventing accidental exposure of sensitive information.
